The billing specialist is responsible for the accurate and reliable handling of financial accounts and documents, with the primary responsibility of generating invoices to bill clients.

  • Process drafts invoices for submission to SE site manager including backup if applicable, ensure all tax information is correct.
  • Send final drafts to customer AP and SE Site manager including backup if applicable.
  • Check the data input in the ERP system to ensure accuracy of final bill
  • Generate billing weekly or monthly depending on client to include base charges, on-call, overtime, travel and other reimbursables.
  • For reimbursable projects, gather backup documentation to match draft invoices submitted for approval
  • Input final invoices into client systems, if applicable.
  • Reconcile Dynamics (ERP) to client invoice databases, if applicable.
  • Attend AR meetings and provide feedback on account issues as needed.
  • Post and download copies of draft and final invoices to SharePoint and shared drives as required.
  • Schedules and facilitate invoice review meetings with site and clients
  • Work with Contract Manager/ site contacts re. invoicing corrections, i.e., time card corrections, any necessary journal entries, rate changes, etc.
  • Ensure billings are complete and sent to client prior to end of month close.
  • Update accounting records are up to date regarding billing policies (i.e. billing address, client billing procedures, etc.)
  • Collect all information needed to calculate bills receivable (order amounts, discount rates etc.)
  • Managing the status of accounts and balances and identifying inconsistencies
  • Ensure all clients remain informed on their outstanding debts and deadlines
  • Make updates to job codes as necessary
  • Schedule and Attend Monthly Project Review Meetings
    • Collect all reports and save in shared file
    • Take notes and action items for team and update shared file


This job might be for you if:
  • 5+ years as a billing specialist or similar experience
  • Comfortable dealing with numbers and the processing of financial information
  • Excellent knowledge of MS Office (particularly Excel) and ERP software (Dynamics preferred)
  • Strong communication, results-driven with a high degree of attention to detail and trustworthiness
  • Bachelor degree in Finance, Accounting or Business Preferred
